Job Description



  • Document Production:


    • Prepare, amend, and format legal documents including leases, missives, disposition, standard securities, and other property-related agreements.


    • Use digital dictation and case management systems to produce documents accurately and efficiently.


    • Prepare Land Register and Registers of Scotland documentation.


  • Administrative Support:


    • Organise diaries, schedule meetings, and arrange property searches or reports.


    • Maintain accurate filing systems - both electronic and paper.


    • Assist with the opening, closing, and archiving of files in line with firm procedures.


  • Client Interaction:


    • Liaise professionally with clients, estate agents, surveyors, and other solicitors.


    • Handle telephone and email enquiries, providing updates or passing messages as appropriate.


    • Draft routine correspondence and handle client communications in a timely and courteous manner.


  • Transaction Support:


    • Support the completion process for sales, purchases, leases, and developments.


    • Request and collate title deeds, reports, consents, and planning documentation.


    • Manage submission of Land and Buildings Transaction Tax (LBTT) returns and online registration with Registers of Scotland.


  • Compliance & Risk:


    • Ensure compliance with Law Society of Scotland regulations and firm policies.


    • Maintain confidentiality and data protection standards at all times.


    • Monitor key dates and deadlines, ensuring solicitor actions are completed on time.



The Successful Applicant



  • Proven experience as a legal secretary, preferably in a commercial property environment.


  • Familiarity with Scottish property law and procedures (especially land registration and LBTT).


  • High level of proficiency in Microsoft Office and legal case management systems.


  • Strong attention to detail and excellent organisational skills.


  • Ability to prioritise workloads and work under pressure to meet deadlines.


  • Excellent communication skills - both written and verbal.
