Job Description

You will:

  • Coordinate daily office operations and manage administrative systems to support the Finance team.
  • Organise and maintain calendars, schedule meetings, and ensure effective communication within the team.
  • Prepare and edit correspondence, presentations, and reports as required.
  • Act as the first point of contact for internal and external queries, demonstrating excellent customer service skills.
  • Assist in the planning and organisation of team events and functions.
  • Support the team in project management activities, including tracking deliverables and deadlines.
  • Implement and maintain an effective filing and data management system.
  • Liaise with other departments to facilitate smooth operations and information flow.

The Successful Applicant

A successful Office Coordinator/Team Assistant should have:

  • Experience in an office administrative or team support role.
  • Excellent organisational and multitasking abilities.
  • Strong communication and interpersonal skills.
  • Proficiency in using office software, including MS Office suite.
  • A proactive approach to problem-solving and the ability to work effectively under pressure.
  • Fluency in Portugese or Italian is also desirable.
